Security Deposit and Damage Policy
Version 1 · Last updated 12 October 2026
1. Purpose
A security deposit protects the Host against proven loss during a rental. It is not a fee or a rental price. The deposit amount, who holds it (the custodian) and whether it is collected or pre-authorised are shown before you pay. If the custodian is not identified, no deposit may be collected until that is clarified.
2. Collection and holding
Deposits are paid through Paynow as shown at checkout. Where the Host holds the deposit, the Host is responsible for refunding it and Roamkin facilitates the dispute process.
3. Return of the deposit
After the vehicle is returned and the return condition check is completed, the Host has a short review window, shown in the booking, to raise any claim. If no valid claim is raised in that window, the deposit is released in full. Refunds go back to the original payment method.
4. What may be claimed
A Host may claim only for proven loss caused by the Renter or an approved driver, such as:
- damage beyond fair wear and tear, shown by comparing condition evidence
- missing items or keys
- fuel or charge shortfall against the agreed level
- unpaid fines, tolls or agreed late-return charges
- cleaning where the vehicle is returned unreasonably dirty
A Host may not claim for normal wear and tear, pre-existing damage, or items not in the agreed charges.
5. Evidence
Claims need dated photos or video from the condition checks, plus a repair quote or receipt. Missing condition evidence does not automatically prove the Renter caused damage.
6. Disputes
The Renter is told of a claim and may respond with their own evidence. Only the disputed amount may be held. Roamkin's support team reviews the evidence and gives a reasoned decision, normally within ten business days. This does not prevent either party going to a court, regulator or insurer.
7. Damage beyond the deposit
Where loss exceeds the deposit, liability depends on the rental agreement, the Insurance and Vehicle Protection Policy and the law, and must be proven and reasonable.
